Data Protection Statement


Under the Data Protection Act (DPA) 2018, there are rules around how data is collected, stored and
used.
The Herefordshire and Mid-Wales Group of the Hardy Plant Society falls under the heading of a not
for profit organisation so is currently exempt from the need to register with the Office of the Data
Protection Commissioner. However, the Group is encouraged to follow the guidelines as currently
set out in the Act.
The personal data that members supply is stored as paper or computer records by the Group and
used for administrative purposes only. No information will be disclosed to anyone outside the Group
without permission. Each year, a list of names and postcodes will be sent to the main HPS Central
Group for its records.
Locally, the list of members of the Herefordshire & Mid-Wales Group is maintained by the Membership
Secretary. No information will be disclosed to anyone outside the Society. If anyone is
concerned about the methods used to store this information, they should contact the Membership
Secretary.
